CycleSoftware and PedalPro Simplify Bike Trade-Ins for Belgian Dealers

A Shifting Market Landscape

The surge in electric bike sales during the peak years of 2020 and 2021 is beginning to yield predictable outcomes. An increasing number of e-bikes from this period are finding their way back to bike shops as customers seek newer models. This trend presents lucrative commercial opportunities, but it also places additional demands on dealers. A traded-in bike must be accurately valued, inspected, stored, and resold, which can tie up both physical space and working capital for extended periods.

Streamlining the Trade-In Process

A new integration between CycleSoftware and PedalPro is set to simplify this trade-in process. Users of CycleSoftware in Belgium and the Netherlands can now appraise bikes directly within their familiar point-of-sale systems, with the option to immediately offer them to PedalPro. This innovation minimizes the need for dealers to toggle between different systems, enabling them to decide whether to use the valuation tool alone or opt for a direct sale.

The Next Phase of the E-Bike Market

During the pandemic, record numbers of e-bikes were sold. Many of these bikes are now five to six years old and are gradually being returned to specialized retailers. PedalPro anticipates that the market is merely on the cusp of a larger wave of trade-ins.

For bike shops, it is increasingly critical to establish a professional trade-in process. While trade-ins can facilitate the sale of new e-bikes, inaccurate valuations can put profit margins at risk. Moreover, managing and selling used bikes demands time, space, and specific expertise.

More Than Just Age and Brand

The valuation of a used e-bike today depends on multiple factors beyond brand, age, and visual condition. Battery health, mileage, motor type, current market inventory, online price pressures, and regional demand all play significant roles. A bike that was easily resold a few years ago may have a dramatically different market value today due to the influx of similar models.

Unified Approach: From Appraisal to Acquisition

Through the CycleSoftware-PedalPro integration, staff can input the details of the trade-in bike directly into CycleSoftware. Leveraging real-time market data, they receive an indication of its commercial value and an appropriate price range. This automation simplifies the process, enabling staff to present well-founded offers during customer negotiations.

With this approach, valuations become less reliant on gut feelings or the judgment of a single employee, offering greater clarity for both retailers and customers about the elements influencing the trade-in value and proposed pricing.

Once an agreement is reached between the dealer and the customer, a quote can be generated and sent to PedalPro from CycleSoftware. Dealers are not obligated to complete the sale and can use the tool solely for appraisals.

Upon acceptance of the offer, a pickup order is generated. PedalPro handles the logistical processing, inspection, invoicing, and payment, which alleviates the burden of finding a buyer and prevents traded-in bikes from sitting idly in the shop.

Reduced Risk and Operational Capital

While having a selection of second-hand bikes can be advantageous, it also requires substantial investment. Bikes must be checked, potentially repaired, cleaned, photographed, and listed for sale. Dealers also need to account for warranties, administrative overhead, and the physical space available in their shop or storage.

Not every bike shop is willing or able to establish a significant second-hand sales activity. Direct purchases offer an alternative: dealers can propose trade-in offers without having to keep the bikes in stock themselves.

This solution becomes especially attractive as the anticipated trade-in volume continues to grow. Quick transactions prevent a larger share of available capital from becoming locked up in used bikes, allowing shops to maintain trade-ins as a compelling selling point for new e-bike sales.

A Clearer Path for Customers

For customers, this new streamlined process means they receive an immediate trade-in offer during their visit, enabling them to factor that amount into their decision to purchase a new model. Simultaneously, shop staff can continue to focus on providing advice and sales support instead of on the future resale of traded-in bikes.

Cost-Free Usage Without Extra Software Fees

PedalPro provides its appraisal and acquisition software free of charge. According to the company, there are no startup costs or monthly subscription fees associated with using this tool, and the pickup service is included as part of the offering.

For CycleSoftware users in Belgium and the Netherlands, the PedalPro integration is also available at no additional software cost. Conducting an appraisal does not obligate the bike shop to follow through with a sale, ensuring that retailers maintain the flexibility to move forward or not based on the offer.

This no-obligation approach lowers barriers for testers looking to implement this tool in their daily operations. While some dealers may primarily utilize PedalPro for objective pricing insights, others may also take advantage of the direct purchase and logistical handling services.

Activation Made Easy

The integration can be requested directly from CycleSoftware. Users simply navigate to Management, then Settings, and subsequently Supplier Integrations. From there, they can click on “Request Data” for PedalPro. The company will process the application and activate the integration.

To celebrate the launch, a temporary promotion is running in August 2026. Bike shops that input their first bike through the integration and sell it to PedalPro will receive a cashback reward of 100 euros.

As the e-bike market continues its maturation, trade-ins will increasingly become a critical component of sales conversations. The collaboration between CycleSoftware and PedalPro provides Belgian bike dealers with an additional opportunity to manage the growing influx of used bikes without needing to establish a full-fledged second-hand operation.
